The operating platform for horse breeding

The whole breeding season runs in one system.

Booking, semen inventory, shipping with proof-of-dispatch, EU-compliant VAT, invoices, chamber-of-agriculture records and association reporting - OneTrot handles the commercial and organizational side of your station and tells you every morning what's due today. Stations that have switched save around one office day a week.

Why stations switch

Paperwork that forgets everything - or a system that knows it all

The effort in a breeding season rarely comes from the breeding itself. It comes from what's in between: transcribing, searching, chasing, recalculating.

How most stations run today

How much time would your station get back?

OneTrot removes about 100 minutes of admin work per order - invoicing, payment matching, reminders, paperwork and signatures happen automatically instead of by hand. Move the slider to your order volume.

Switching over

From a pile of paper to a system - without you typing it in

You don't have to get organized first to get started. That's exactly our job at the beginning.

Week 1

We look at what you have

One conversation, then you send us whatever exists: stallion list, price sheet, customer records - as a photo, scan, spreadsheet or copy.

Effort for you: about 1 hour
Week 1-2

We set everything up

We create stallions, prices, availability, associations, customers and open orders. You just check that it's right.

  • Catalogue & booking page on your own address
  • Invoice template, tax codes, numbering sequence
Effort for you: sign-off
Week 3

Team & test run

One training session for office and yard, one real order from booking through to invoice - hands-on, not a manual.

  • Roles for staff, vets, inseminators
  • Phone view for the daily plan in the yard
Effort for you: 2 hours
From season start

Your first season, supported

A named contact stays with you through the first breeding period, the first reporting wave, the first month-end close.

Effort for you: less than before
Mid-season already? Then we start with booking and invoicing, and bring inventory, shipping and reporting online after the breeding season.
What it costs

Simple and transparent: your price is based on your station.

Two stallions and 40 orders is a different business than 20 stallions with frozen-semen export - an off-the-shelf price list would fit neither. We look at your season and give you a number in that same conversation: in writing, easy to follow, no fine print.

Transparent from day one
Setup, data migration and training are part of getting started, not a line item on the first invoice.
Matched to your season
Your business isn't spread evenly across the year. The terms shouldn't be either.
Your data stays yours
Full export any time, hosted in the EU. Switching should never be a one-way street.

Reliability

What an operating system for your station has to deliver

When the season runs on it, "usually works" isn't good enough.

EU hosting, GDPR-compliant
Servers and backups in the EU, data-processing agreement included, encrypted transfer.
Roles instead of shared passwords
Office, yard, vet, inseminator and customer each see exactly what they need - and nothing more.
Record archive with numbering sequence
Invoices, credit notes, dispatch proofs and certificates numbered continuously, archived unchangeably, findable at any time.
Full export any time
Your data belongs to you: orders, customers, records and pedigrees as a file - on demand, no questions asked.
Traceable history
Who changed, reported, shipped or cancelled what, and when - logged on every order.
A contact who knows breeding
Phone and email to people who know what a breeding report is - with extended hours in season.
Demo

See OneTrot with your own stallions

We set up the demo in advance with your stallions, prices and associations. You won't see a sample stud - you'll see your own station.

Message us on WhatsApp - no form

One message is enough. Tell us who you are and we'll arrange a no-obligation call or a visit at your stable - usually the same day.

  • No form, no sign-up, no waiting for a callback
  • A real person replies - the team that builds OneTrot

What happens next
1
We prepare in advance
Send us your stallion list, even as a photo of your price sheet. We set up the catalogue, prices and association beforehand.
2
The demo, on your own operation
We walk through a real order: booking, shipping, invoice, report. You ask the uncomfortable questions.
3
Test access with your own data
You keep the station we set up as a test environment, even if you decide against us.
4
Start between two seasons
Data migration from paper, folders, spreadsheets or an old system, team training, first season with a direct contact.
We prepare the demo from your details - there's nothing for you to sort, digitize or tidy up first.
Before you ask

The objections we hear most often

Everything at our station runs on paper - notes, binders, a wall calendar. Is that a problem?
That's the normal case, not the exception - most stations come from exactly this kind of paperwork. Send us what you have: stallion list, price sheet, customer records, a photo or a copy is fine. We turn that into stallions, customers, mares and open orders. Typing it in is our job, not yours. Old seasons can come along as an archive, so pedigrees and records stay traceable.
What if our customers don't want to book online?
Then you keep booking for them. Every order can be entered from the office - by phone, by email, at the kitchen table. The only difference is that it creates the same process with invoice, dispatch proof and reporting. The booking page is an option for your customers, not a requirement.
How reliable is the tax treatment, really?
VAT IDs are checked against VIES, reverse charge, the destination-country principle and export supplies are built in as rules, and every receipt carries the right mandatory notes and gap-free numbering. Your accountant gets an export they can work with - responsibility naturally stays with you.
Are we locked into a long-term contract?
No. We work season by season, with no multi-year contracts. A full export of your data is possible at any time - we'd rather keep customers through value than through notice periods.
Does OneTrot support our breeding association?
Breeding and foaling reports are generated as structured XML, along with breeding-certificate requests. We work out exactly which reporting path is possible for your association in the demo - just tell us which associations your customers breed with.
Who helps if something breaks in May?
A named contact, reachable by phone and email, who actually knows what a breeding report is - not a ticketing system. With extended hours during the breeding season, because your work doesn't wait.
Does it work on a phone in the yard, even with a bad connection?
Yes. Every screen is built for the phone, not just shrunk down: the daily plan, collection entry, absences and order lists have their own large controls with tap targets you can hit wearing work gloves. No app-store install needed - a browser is enough.
We have frozen semen from several years sitting in the tank. Can that ever get organized?
OneTrot tracks frozen inventory with a storage location: tank, canister, straw numbers, collection date, stallion and lab values. At the start, we record your existing stock exactly as it sits in the canister - after that, every withdrawal is tied to an order, and you can see what's left at any time.
Can several people work at the same time - office, yard, temp staff?
Yes, with their own logins and roles instead of one shared password. A seasonal hire can log collections without seeing revenue; the office handles invoices; vets and inseminators only see the orders that concern them. Every change is logged on the order.
What happens when a stallion is away at a show?
You enter the absence as a date range - optionally, OneTrot then automatically blocks fresh-semen availability for those days, so no booking is ever created that you'd have to cancel afterward. Frozen-semen orders keep running. The system also warns about double bookings and exceeded daily capacity before you ever confirm one.
And if the mare doesn't get pregnant?
Pregnancy status lives on the order: check window, finding, re-breeding or cancellation. Your terms hang off that - a credit note, correction or follow-up booking is created as a proper record with a continuous number, not a handwritten note on the old invoice.
Can our accountant work with this?
Yes. Every record for a period can be exported as PDF and as structured data, with tax codes, net amounts, tax rates and reverse-charge flags - instead of a shoebox in January. Payments and payouts are linked to invoices, so reconciliation doesn't happen by hand.
We have regular customers with special pricing and association terms.
Pricing doesn't just hang off the stallion, it hangs off the customer too: memberships, discounts and special agreements are stored and applied automatically at booking, even when the customer books online themselves. You don't have to remember anymore who gets which price.

The next breeding season arrives faster than the paper pile shrinks

See in 20 minutes what your station looks like in OneTrot - with your stallions, your prices, your association.
